Registration

Registration for the Congress

Every participant, including companions and accompanying persons, must be registered in order to attend the Conference, tours, visits and social events. 

Congress registration fees include the following for all delegates:

  • Admission to all Conference sessions
  • Admission to the Exhibition
  • Admission to the poster sessions
  • Opening Ceremony and Welcome Cocktail 
  • Closing Ceremony
  • Coffee Breaks
  • Internet Access
  • Conference documentation and delegate pack
  • All applicable taxes

Companions’ registration fees include the following tours, in and around Montreal :

  • Bonjour Montreal City Tour
  • Walking tour of Old Montréal – Stepping Back Through Time
  • A day of Museums
  • Bateau-Mouche Lunch Cruise
  • Green Montréal : Biôdome & Botanical Gardens
  • Admission to the Exhibition

Registration Fees  

How to register

Registration is only accepted over the internet.  When you click “REGISTER TO THE CONGRESS”, you will be redirected to the official online registration web-site.  All directions are clearly indicated as you follow through the registration form.  Once you have submitted your form, you will receive a confirmation by email, with a personalized link to access and edit your profile online anytime you wish. 

Please note that for your registration to be valid, your passport number and expiry date (for all delegates) or driver’s license (for Canadians citizens only) is mandatory, and payment must be processed in full.  Registrations will not be confirmed if this information is missing. 

For administrative reasons, registration forms received after September 4 will be processed after the organizing committee is installed on site at the Palais des congrès.. After this date, delegates must register on-site during the official registration opening hours. There may be a slight waiting period while identification is verified by the Security team of the Congress.

Payment

All registration fees are payable in Canadian dollars (CAD). Accepted payment methods are listed below.

  • Credit Card
    • Accepted credit cards: MasterCard and Visa.
  • Cheque or bank draft or international bank draft*
    • Cheque or bank draft must be in Canadian funds, drawn on a Canadian bank and made  payable to “WEC Montreal 2010 c/o JPdL“ and will be accepted up to August 15, 2010.
    • Cheque or bank draft must be sent to the Congress Secretariat with a copy of your statement at the following address:

* An international bank draft is a cheque issued by a bank outside of Canada, in Canadian funds. Your bank must be associated with a Canadian bank and show the name of both banks on the draft for it to be valid. Please make sure your bank draft is made payable to “WEC Montreal 2010 c/o JPdL” and lists your name and the name of the congress in reference. Once issued, you will then need to mail the bank draft to us at the above address. Unidentified bank drafts will not be processed.

Important notice: Please do not send cash by mail or courier. The Congress Organizers accept no liability for registration payment lost in the post.

Security Measures

To ensure a safe and favourable environment for the exhibitions and lectures, the WEC Organizing Committee has implemented security and access control measures for participants.

  • Signage at the Convention Centre: traffic, directions, registration and access control areas
  • Registration and access card issue points
  • Specialized equipment to ensure a secure environment: x-ray monitor, detection portal
  • Control of access privileges to certain activities: delegates and other participants directed to appropriate locations, room management, etc.
  • WEC Montreal 2010 specific safety measures: fire safety, health emergency, policing, etc..
  • Presence of first responders at the site in case of emergency: security personnel, medical personnel, fire safety, etc.

Substitution Policy

Substitutions must be confirmed in writing (fax, email or regular mail) to the Congress Secretariat. Delegate wishing to transfer their registration to someone else will have to provide complete information found under the “Professional contact information” section of this form, including passport information (or driver’s license for Canadian citizens), for the other person when initiating the substitution, and they will have to fill out a “substitution” form provided by the Congress Secretariat before being allowed to proceed with the substitution.

Cancellation and Refund Policy

Cancellation must be confirmed in writing (fax, email or regular mail) to the Congress Secretariat. For cancellations received on or prior to April 30, 2010, registration fees will be refunded. For cancellations received from May 1 to July 31, 2010, registration fees will be refunded less a $500 CAD administrative fee. No refunds will be granted for cancellations received on or after August 1, 2010 but substitutions will be accepted (please refer to the Substitution Policy). Refunds will be made within 4 weeks after the close of the congress.

Registration for Tours and Excursions

Registered delegates and exhibitors may purchase tourist tours and/or excursions in advance with the internet registration form, or on site.  Tours are handled on a first-come first-served basis.

Cancellation and Refund Policy for Tours and Excursions

If tour minimums are not met, tours may be cancelled at the discretion of WEC Montréal 2010. Should a tour be cancelled, delegates will be contacted and monies reimbursed where applicable.

Individuals wanting to cancel a paid, pre-registered tour must provide written notice to the registration secretariat of WEC Montréal 2010 before August 27, 2010. A $20 CAD cancellation fee per tour, per person will apply. No refunds will be given after August 27, 2010.

Refunds will be processed after the congress.

Substitution Policy for Tours and Excursions

Substitutions are available for tours and excursions when transferring a registration only and as per the policy above. To transfer visit and tour tickets purchased on line, delegates must communicate directly with the Secretariat. The Cancellation & Refund Policy applies.

Registration for the Exhibition only

Individuals who only wish to visit the Exhibition are strongly advised to register on-line in advance to avoid lines at the registration desk.  This will allow for fast-track registration on-site to pick-up the visitor badge, which is mandatory to enter the Exhibition.

To do so, just click the “VISIT THE EXHIBITION” button and make sure to indicate that you register for the Exhibition only. 

The entrance fee for the exhibition is $75.00 and is valid for the 3 days of the exhibition (Tuesday, Wednesday and Thursday). Payment may be made by credit card via the internet (Visa or Mastercard are accepted); payment in cash will be accepted for registration on site.
